Post : Sr. Executive - Logistics

MAIN PURPOSE:
This position would be responsible to carry out logistics warehouse operation and be responsible for end to end integrated Contract logistics and supply chain system for enabling seamless material flow from Regional warehouse to the all customers & import warehouses through CFA, Inventory Planners, Logistics and CS Cell in right quantities at the right time and right place.
·  To provide continuous direction to 3PL team and labor force and Review performance of Third party executives.
· Maintain Environment, Health and Safety (EHS) and Quality standards in the warehouse.

KEY ACCOUNTABILITIES:
Warehouse Operational / Management Functions.
· Manage and coordinate all inbound & outbound activities at warehouse as per the KPI target and timelines agreed.
· Manage and coordinate Inventory Management activities in a way to maintain inventory accuracy at warehouse through periodic stock counts. Undertake statutory, daily cycle count, cross check the physical count of goods with the system count, take appropriate action for any mismatch, and write off from system.
· Responsible for monitoring and controlling Supplier Management, Reverse Logistics (RL).
· Responsible for monitoring and controlling all warehouse activities – Material receipts, sales order processing, daily cycle counts, sales returns processing etc. as per the (Service level agreement) SLAs stipulated.
· Other customer related activities in a way to respond to customer enquiries and resolve complaints in a prompt and effective manner.
· Channel improvement & Business Continuity.
· Supervise 3PL team and continuous process improvement initiative.
· Warehouse MIS Reporting & review.
· Responsible for handling exceptions like short/excess, damages and other such claims.
· Responsible for proper quarantine inventory management and getting items written off from SAP physically scrapped as per the policy to meet the regulatory requirements on a monthly basis.
· Manage the resources properly to handle exceptional situations like month end / quarter end peak loads to meet the organization expectation.

 

Interfacing Functions
Coordinate with:
· Various stake holders like 3PL team, sales team, quality & regulatory, finance & supplier vendor team. Effectively manage the services of all service providers namely – 3PL executives, warehouse service provider, Logistic Service Providers, packing material suppliers, consumables suppliers, forklift vendor, octroi agents etc.
· Quality & Regulatory department to resolve issues like product quality and Product holds license issues etc. that hamper the material supplies from warehouse.
· Fare knowledge of EHS, FDA norms and CP to deal with EHS & local drug officer.  
· Imports department to facilitate smooth customs clearance and timely delivery of all the import & re-export shipments.
· Inventory planning team to facilitate smooth inventory stocks re-balancing across all regional warehouse and timely execution and delivery of all inter-warehouse stocks transfer activities in SAP.
· Customer support team to enable them for timely execution of customer orders and minimizing customer backorders.
· Carryout the process to support customers during emergencies on holidays/Sunday and non-working hours as per Business exigencies.

Regulatory and Follow Up
· Regularly follow up with suppliers for effective and timely supply of goods and services. Work with Supply chain Manager for escalations in case of concern and service related abnormalities.
· Support to minimize and find out a way how to keep warehouse operational cost within economical umbrella through continuous process initiative without hampering quality and SOP standard.
· Support to minimize inventory obsolescence; back orders by taking actions necessary.
· Carry out physical disposition activities of expired stocks.
· Carry out continuous audit of all warehouse operations and draw out action points for productivity enhancement.
· Actively engage in periodic external audits by statutory and corporate auditors, consignment stock counts, annual 100% wall to wall stock counts through CA etc. and initiate necessary actions as per audit findings.
· Be responsible for handling visit to warehouse by any of the government agencies like sales tax authorities, drug inspectors, octroi inspectors etc as a competent person.
· Ensure strict compliance to all legal, regulatory, statutory and ethical norms.

Education
• Any Bachelor’s degree / similar professional qualification. B. Pharma [Nice to Have]
• Well versed in EHS standards and all state regulatory requirements.
• PG diploma / degree in Operation Management or Supply Chain Management (SCM) [Nice to Have]

Experience
• Minimum 4 - 6 years Logistics warehousing experience of managing the operations of a warehouse of 7000 – 15000 sq. feet with lead a workforce (minimum 10 to 15 pax).
• At least 2 years’ experience in handling Pharmaceutical products or medical devices as/under competent person.
• Experience in handling & leading Third party warehouse representatives with varied skills & temperament.
• Knowledge of Statutory compliance requirement of forms, documents, permits according to state requirements.

Communication skills and Interpersonal skills
•  High standard of accuracy and attention to detail with excellent written and oral communication in English.
•  Knowledge of Regional Language would be an added advantage.
•  Professional and effective interpersonal skills & pleasant demeanor to interact with internal and external stakeholders.

Collaborative Skills
•  Experience at working both independently and in a team-oriented, collaborative environment is essential. 
• Able to Interface with multiple stakeholders – Supply Chain teams,  Internally - Businesses, legal, regulatory, finance, teams within supply chain and others,  Externally – with 3PL teams, regional local warehouses, supplier vendors, Logistic Service Providers, packing material suppliers, consumables suppliers, octroi agents, government officials for tax, drug inspectors during inspection, Local Drug Authority, BMC official, etc.

Technical Knowledge
•  MS Excel [Must have] Word, Power point & other MS office Suites. [Nice to Have] 
•  Inventory / Warehouse Management module of SAP or other similar ERP [Must have]
•  Exposure to EHS, 5S and KANBAN/Six Sigma– [Nice to have]

Analytical Skill
Strong Analytical skill to undertake to lead 3PL team to carry out accurate execution of warehouse activities and supply of stocks based on Business requirements/exigencies.
